What our bookkeeping does — and doesn’t — cover.

This Service Disclaimer explains the scope of bookkeeping services provided by Victory Finance LLC, what those services do not include, and the responsibilities of both Victory Finance LLC and our clients. It supplements (but does not replace) the written engagement agreement signed with each client.

In short: we provide professional bookkeeping. We do not prepare taxes, give financial or investment advice, perform audits, or detect fraud. Accurate bookkeeping depends on accurate, complete information from clients. Final responsibility for the financial records of your business rests with you.

1. What we do

Victory Finance LLC provides bookkeeping services to small businesses and self-employed professionals, which may include:

  • Recording and categorizing financial transactions
  • Reconciling bank and credit card accounts
  • Preparing monthly financial reports (profit and loss, balance sheet, cash flow)
  • Maintaining records in accounting software (such as QuickBooks Online)
  • Preparing year-end records for handoff to a tax preparer
  • Providing optional add-on services such as invoicing, accounts receivable management, accounts payable management, and catch-up bookkeeping when contracted

2. What we do not do

The following services are not within the scope of our bookkeeping work, and nothing on our website or in our communications should be interpreted as providing them:

Tax preparation and tax advice

We do not prepare federal, state, or local tax returns. We do not provide tax planning, tax strategy, or tax advice. Clients should engage a licensed tax professional (such as a Certified Public Accountant or Enrolled Agent) for these services. We are happy to coordinate with your tax preparer and provide year-end records to support their work.

Financial, investment, or business advice

We do not provide financial planning, investment advice, retirement planning, business valuation, or fundraising advice. We are not a registered investment advisor. Decisions about how to use the financial information we prepare are the client's responsibility, and we recommend consulting qualified professionals (such as a CFP, CFA, or business advisor) for those decisions.

Auditing or assurance services

Our work is not an audit, review, or compilation as defined under generally accepted auditing standards or AICPA professional standards. We do not provide assurance about the accuracy or completeness of financial records. We do not perform forensic accounting or fraud examinations.

Legal advice

We are not attorneys and do not provide legal advice. Questions about business structure, contracts, employment law, intellectual property, or any other legal matter should be directed to a licensed attorney.

Payroll services for clients

At this time, we do not provide payroll services to external clients. Clients should use a dedicated payroll provider (such as Gusto, ADP, or Paychex). We can coordinate with your payroll provider to record payroll transactions in your books.

3. Accuracy and completeness

The accuracy of bookkeeping records depends on the accuracy and completeness of information provided by the client. We rely on the information you provide — including bank and credit card statements, receipts, invoices, payroll records, and explanations of transactions — to be true, complete, and timely.

If you do not provide complete records, or if you provide inaccurate information, the financial reports we prepare will reflect those gaps or errors. We will use professional judgment and ask reasonable questions, but we cannot independently verify information that has not been disclosed to us.

4. Fraud detection

Bookkeeping services are not designed to detect fraud, theft, embezzlement, or other irregularities. Detecting and preventing fraud requires specialized procedures (such as a forensic audit) that are outside the scope of routine bookkeeping. While we will report obvious irregularities if we notice them, the absence of such reporting should not be taken as assurance that no fraud or irregularity exists.

Clients are responsible for implementing internal controls appropriate to their business — such as separating banking duties, reviewing reports periodically, and securing access to financial accounts.

5. Client responsibilities

To enable us to provide accurate bookkeeping, clients are responsible for:

  • Providing complete and accurate financial records on a timely basis
  • Disclosing all bank accounts, credit cards, loans, and other financial accounts used in the business
  • Responding to questions and clarification requests in a timely manner
  • Reviewing financial reports we provide and notifying us promptly of any errors or concerns
  • Maintaining their own backup copies of records
  • Filing and paying their own taxes (typically through their tax preparer)
  • Implementing reasonable internal controls over financial activity
  • Maintaining the security of their own accounts (passwords, login credentials, multi-factor authentication)

6. Reliance on our work

Financial reports we prepare are based on information provided by the client and are intended for the client's internal use, for sharing with the client's tax preparer, or for purposes the client and Victory Finance LLC have specifically discussed. They are not intended for use by lenders, investors, regulatory bodies, or third parties unless explicitly agreed in writing in advance.

If a third party (such as a bank or investor) wishes to rely on financial information about your business, you should engage a CPA to provide a compilation, review, or audit appropriate to the third party's needs.

7. Confidentiality

We treat client information as confidential. We share information only as needed to provide services (for example, with the accounting software used to maintain your books), as authorized by the client, or as required by law. We do not sell or disclose client information for marketing or advertising purposes. See our Privacy Policy for more details.

8. Engagement and termination

A bookkeeping engagement is established only when both Victory Finance LLC and the client sign a written engagement agreement. Until that agreement is signed, we are not engaged as your bookkeeper, and submitting an inquiry does not create a professional relationship.

Either party may terminate the engagement in accordance with the terms of the engagement agreement. Upon termination, we will provide reasonable assistance to transition your records to you or to a successor bookkeeper, subject to payment of any outstanding fees.

9. Limitation of liability

To the fullest extent permitted by law, Victory Finance LLC and its members, employees, agents, and contractors will not be liable for indirect, incidental, special, consequential, or punitive damages arising out of or related to our services, even if advised of the possibility of such damages. Our total liability for any claim arising out of or related to our services will not exceed the fees actually paid by the client to Victory Finance LLC during the twelve months preceding the event giving rise to the claim, except where prohibited by law.

This limitation does not apply to liability that cannot be limited or excluded under applicable law, such as gross negligence or willful misconduct.

10. No guarantees of business outcomes

We do not guarantee any specific business outcome (such as profitability, tax savings, or improved cash flow) as a result of our services. Bookkeeping provides accurate financial information; what you do with that information is your decision and is influenced by many factors outside our control.

11. Changes to this disclaimer

We may update this Service Disclaimer from time to time. When we do, we will revise the "Last updated" date at the top. The most current version always governs the scope of our website disclosures.
