Victory Finance LLC ("Victory Finance," "we," "our," or "us") respects your privacy. This Privacy Policy explains what personal information we collect, how we use it, when we share it, and the choices you have. It applies to our website at victoryfinanceacct.com and any related services we provide.

By using our website or services, you agree to the practices described here. If you do not agree, please do not use the site or our services.

Victory Finance LLC is a bookkeeping services provider organized in the State of Washington, United States. We provide professional bookkeeping services to small businesses and self-employed professionals across the United States, including all 50 states and the District of Columbia.

2. Information we collect

Information you provide

We collect information you submit to us directly, including:

  • Contact information: name, email address, phone number
  • Business information: business name, type of business, website or social media handle, transaction volume, current bookkeeping software
  • Communication content: messages, descriptions of your needs, and any other information you choose to share through our forms or via email
  • Booking information: when you schedule a consultation through Calendly, the time slot and any details you provide during booking
  • Service-related information: if you become a client, we additionally collect financial records, bank and credit card statements, receipts, invoices, and other documents necessary to perform bookkeeping services

Information collected automatically

Our website does not use analytics tracking, advertising cookies, or fingerprinting technologies. Our hosting provider (Hostinger) may automatically log basic technical information such as IP addresses, browser type, and access times for security and operational purposes.

Information from third-party services

When you use our online forms, the form-handling service Web3Forms processes your submission and forwards it to us. When you book a call, Calendly processes your booking and may set its own cookies on your device. These services have their own privacy policies, which we encourage you to review.

3. How we use your information

We use the information we collect to:

  • Respond to your inquiries and communicate with you about our services
  • Schedule consultations and meetings
  • Provide bookkeeping services to clients, including preparing financial reports
  • Process and reconcile transactions in accounting software (such as QuickBooks Online)
  • Send service-related communications (such as monthly reports, status updates, or scheduling information)
  • Improve our services and website
  • Comply with legal obligations and protect our legal rights

We do not sell your personal information, and we do not use your information for advertising or marketing to third parties.

4. When we share information

We share information only when necessary to operate our business and provide services. Specifically, we may share information with:

  • Service providers who assist us in running our business, such as Hostinger (web hosting), Web3Forms (form processing), Calendly (scheduling), Google (email and calendar services), and Intuit (QuickBooks Online accounting software). These providers are required to protect your information and use it only for the services they perform for us.
  • Professional advisors such as our attorneys, accountants, or insurers, when needed to operate our business or comply with legal obligations.
  • Authorities or other parties when required by law, court order, or to protect our legal rights or the safety of others.
  • A successor entity in the event of a merger, sale, or other business transition. In such cases, your information would remain protected under terms substantially similar to this policy.

We never sell, rent, or trade your personal information to third parties for their own marketing purposes.

5. How we protect your information

We use reasonable administrative, technical, and physical safeguards to protect your information, including:

  • SSL/TLS encryption for data transmitted to and from our website
  • Access controls limiting who can view your information
  • Secure storage of financial records in industry-standard accounting software
  • Strong password practices and two-factor authentication where available
  • Confidentiality obligations for anyone who accesses your information on our behalf

No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. We will notify you in accordance with applicable law if we discover a security breach affecting your personal information.

6. How long we keep your information

We retain your information for as long as needed to provide services and for a reasonable period afterward to meet legal, accounting, or reporting requirements. For prospective clients who never become active clients, we typically retain inquiry information for up to two years. For active and former clients, we retain records for at least seven years after the end of the engagement, or longer if required by law.

7. Your rights and choices

Depending on where you live, you may have the following rights regarding your personal information:

  • Access: request a copy of the personal information we hold about you
  • Correction: ask us to correct inaccurate information
  • Deletion: ask us to delete your personal information, subject to legal retention requirements
  • Opt-out: unsubscribe from non-essential communications at any time
  • Non-discrimination: we will not discriminate against you for exercising your rights

California residents (CCPA/CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the right to know what personal information we have collected about you, the right to request deletion, the right to opt out of the sale or sharing of personal information (we do not sell or share personal information for cross-context behavioral advertising), and the right to non-discrimination for exercising your rights. Washington residents

If you are a resident of Washington State, the Washington My Health My Data Act may provide additional protections regarding consumer health data. We do not knowingly collect consumer health data as defined under that law.

8. Children's privacy

Our services are intended for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us, and we will promptly delete it.

9. Third-party links

Our website may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party site you visit.

10. Users outside the United States

Our services are provided from the United States. If you access our site or services from outside the U.S., your information will be transferred to and processed in the United States. By using our services, you consent to this transfer.

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top. For material changes, we will provide additional notice (such as by email to active clients or a notice on our website). We encourage you to review this policy periodically.
